A Bad-Weather Cancel Policy Mobile Groomers Can Actually Stand Behind

A weather cancellation policy is one of those things that everyone procrastinates writing — until the day they’re trying to decide whether to drive a $60K van through a tropical storm with a generator on board. By then it’s too late. Write it now.

Weather Risks for Mobile Vans

The risks split into two categories: risks to the van/operator (lightning, flooding, ice, severe wind) and risks to the dog (extreme heat or cold during loading/unloading). The first category is non-negotiable; you don’t put the van or yourself at risk for any single groom. The second category is more operator judgment.

Hard-No Conditions

• Active lightning within 10 miles — generator outside, water everywhere. No.
• Flash flood warning — the van weighs less than you think when waters rise.
• Sustained winds over 40 mph — door damage risk, plus dogs hate it.
• Hurricane warning or tropical storm warning — close shop. Notify all clients 24+ hours ahead.
• Below 25°F or above 100°F ambient — generator/AC can’t keep up with the dog’s comfort needs in either direction.

Operator-Discretion Conditions

• Heavy rain (not flooding) — operate, but bring extra towels and reschedule senior dogs.
• 30–40 mph wind — operate, but skip clients with very steep driveways.
• 25–35°F or 90–100°F — operate, but limit time outside the van.

Client-Side Cancellations

Clients also cancel for weather — sometimes legitimately, sometimes "the kids have a soccer game and the field is muddy." Standard cancel policy applies (24 hours notice or forfeit deposit), except when there’s an active National Weather Service alert in their area. In that case, no penalty, free reschedule. Codify the exception so your booking system enforces it automatically.

The fastest way to lose a long-term client is to charge them a no-show fee on a day the local schools were closed.

The Published Policy

Three sentences on your site and in the booking confirmation: "We cancel for active lightning, flash flood warnings, sustained winds over 40 mph, hurricane/tropical storm warnings, and ambient temps below 25°F or above 100°F. We will text you by 7 AM if your appointment is affected. There is no charge for weather cancellations from either side, and we will reschedule within 7 days."

Reschedule Logistics

A storm day creates a backlog. Have a "weather backlog" rule: cancelled clients get first dibs on the next 3 days’ open slots, in order of original appointment time. Don’t try to cram them all into one day — you’ll burn out the next day, and your route density (see our density guide) goes to hell.
