Pet Grooming Payroll Made Simple

Payroll at a pet grooming business is not like payroll at a retail store. Your groomers might earn hourly wages plus commission plus tips. They might work 10-hour days on Saturdays and half-days on Tuesdays. One groomer might handle 8 dogs while another handles 12, and their commission rates might differ based on seniority or service type.
Getting this wrong is not just inconvenient — it is a legal liability. Wage theft claims, overtime violations, and unreported tip income can result in fines that dwarf whatever you saved by doing payroll on a napkin. Animal Friends OS includes built-in payroll that handles all of this automatically.
Why Pet Business Payroll Is Uniquely Hard
Here are the specific challenges that make pet care payroll different from other small businesses:
- Variable hours: Groomers rarely work the same schedule week to week. Walk-ins, cancellations, and seasonal demand create unpredictable hours.
- Mixed compensation: Many salons use a hybrid model — hourly base plus commission on services over a threshold, plus tips.
- Tip reporting: The IRS requires all tip income to be reported. Cash tips that go unreported create liability for both the employee and the business.
- Commission complexity: Some businesses pay flat commission per dog, others pay percentage of service price, others pay tiered rates based on volume.
- Overtime rules: Federal law requires overtime (1.5x) for hours over 40/week. Some states have daily overtime rules too. If your groomer works 10 hours on Saturday, that might trigger daily OT in California.
- Multiple roles: A staff member who grooms in the morning and does kennel work in the afternoon might have different pay rates for each role.
Tracking Tips the Right Way
Tips in a pet grooming business come in three forms: cash tips handed directly to the groomer, credit card tips added at checkout, and digital tips through payment apps. Your payroll system needs to capture all three.
Best Practices for Tip Tracking
- Record all tips at the point of sale — When checking out a client, staff should enter the tip amount regardless of payment method
- Separate tip pools from individual tips — If your salon pools tips, the system should calculate each employee's share based on hours worked
- Report tips on pay stubs — Every pay period should show gross tips, any tip pool adjustments, and the net tip amount
- Withhold taxes on tips — Tips are taxable income. Your payroll system should withhold federal income tax, Social Security, and Medicare on reported tips

Commission Structures That Work
There is no single "right" commission structure, but here are the three most common models we see in successful grooming salons:
Model 1: Straight Commission (50/50)
The groomer receives 50% of the service price. Simple to calculate, easy to understand. Works best for experienced groomers who are fast and efficient. Risk: slow days mean low pay, which can lead to turnover.
Model 2: Hourly + Commission Kicker
The groomer earns an hourly rate (e.g., $14/hr) plus commission on services above a daily threshold (e.g., 10% on all revenue over $300/day). This guarantees a base income while rewarding productivity.
Model 3: Tiered Commission
Commission rates increase with volume: 40% on the first $500/week, 45% on $500-$1000, 50% on everything above $1000. This incentivizes groomers to take more appointments and upsell add-on services.

Overtime Compliance
Overtime violations are the most common wage claim in the pet care industry. Here is what you need to know:
- Federal rule: Time and a half (1.5x regular rate) for all hours over 40 in a workweek
- Regular rate includes commission: If a groomer earns $600 in hourly wages plus $400 in commission for 45 hours worked, the regular rate is ($600 + $400) / 45 = $22.22/hr. Overtime rate is $33.33/hr for the 5 extra hours.
- State rules vary: California, Colorado, and Alaska have daily overtime (over 8 hours). Check your state.
- Salaried groomers are usually non-exempt: Paying a salary does not automatically exempt someone from overtime. Most groomers do not meet the duties test for the administrative or professional exemptions.
How Auto-Calculation Works
In Animal Friends OS, payroll runs automatically at the end of each pay period. Here is what the system does:
- Pulls clock-in/clock-out records from the time tracking module
- Calculates gross hourly pay including overtime at the correct rate
- Adds commission based on your configured structure (flat, percentage, or tiered)
- Adds reported tips including any tip pool distribution
- Calculates withholdings — federal income tax, state tax, Social Security, Medicare
- Generates net pay and a detailed pay stub
Printable Pay Stubs
Every pay period generates a professional pay stub that shows:
- Hours worked (regular and overtime, broken down by day)
- Hourly earnings
- Commission earnings (with line-item detail)
- Tips (cash, credit card, and pool share)
- Gross pay
- Withholdings (federal, state, FICA)
- Net pay
- Year-to-date totals
Pay stubs can be printed, emailed to employees, or accessed through the staff portal. This is not optional — most states require employers to provide itemized pay stubs every pay period.

Tax Compliance Checklist
- Report all tip income (including cash tips) on W-2s
- File Form 8027 if your salon has more than 10 employees and tipping is customary
- Deposit federal payroll taxes on time (semi-weekly or monthly depending on your deposit schedule)
- File quarterly Form 941
- Provide W-2s to all employees by January 31
- Maintain time records for at least 3 years (FLSA requirement)
- Post required workplace notices (minimum wage, OSHA, EEOC)
A single overtime violation can result in back-pay plus an equal amount in liquidated damages — effectively doubling the cost. Automated payroll eliminates this risk entirely.
